For the purpose of the Data Protection Act 1998 (the Act), the data controller is Much Hadham Recreation Trust, Westfield House, New Barns Lane, Much Hadham, Hertfordshire SG10 6HH.

This means that we are responsible for how your data is collected and used. We respect your privacy and will protect any of your personal data that we process. All personal data are processed in accordance with applicable data protection laws.

 

THE TYPES OF DATA WE COLLECT

We collect personal data that you voluntarily provide to us, for example when you communicate with us via email or other channels, when you sign up for a newsletter, apply for a stall at the fête, apply for a grant from us or volunteer to help with the organisation and running of the fete.

The data we collect includes your name, postal address, contact phone number(s), e-mail address, financial information and job title, as required depending on our interaction.

For example, for volunteers we will only need name and contact details (including contact phone numbers and email address), but for stallholder applications we will require bank account information as well, to trace your booking and process your booking fee, and your insurance details.  For clubs and societies and other organisations applying for grants, we will also need certain financial information about the organisation in order to consider the application properly.

 

HOW WE USE THE DATA WE COLLECT AND STORE

We use the personal data we collect for communication purposes, including:

- to send you updates and details relating to the Recreation Trust and the fete as part of our service to you;

- to communicate with you as part of our contract (in the case of stallholders, suppliers and intermediaries);

- to maintain our list of contacts;

- to ask you for your assistance and support, including financial support, for the organisation and running of the annual fete; and

- to provide you with details of events and services in Much Hadham and the nearby area which are offered by us as well as others.

We do not sell, hire out, distribute or otherwise make your personal data available to any third party. However, we may share information with our suppliers for the purposes listed below.

 

OUR BASIS FOR USING YOUR PERSONAL DATA

When processing personal data for the purposes explained in this notice, we do so for the purposes of delivering our services to you. In addition, where we may provide you with details of other products and services which we believe may be of interest to you, we rely on our legitimate interests in maintaining business relationships and/or communicating with you as an existing volunteer or business partner for similar services, about the fête and other local parish events. We consider that our legitimate interests abide by the law and the legal rights and freedoms of our business and volunteer contacts.

 

HOW WE MAY SHARE THE DATA WE COLLECT; INTERNATIONAL TRANSFERS

Only the people who need to process personal data for the purposes mentioned above have access to your personal data.

We do not send your personal data outside the EU/EEA ourselves. However, the servers on which we operate may at times need to allow third parties to access your personal data when they perform services on their behalf, such as to maintain and support their IT systems. Any transfer of data outside the EU/EEA would be made in line with data protection laws.

 

HOW LONG WE WILL KEEP YOUR PERSONAL DATA

Your personal data will be saved for the specified purposes mentioned above for as long as you are a business or volunteer contact to us, unless you have specified that you do not want your personal data retained after your involvement with the relevant fête.

 

SECURITY MEASURES TO KEEP YOUR PERSONAL DATA SAFE

We acknowledge that the information you provide may be confidential and will maintain the confidentiality of and protect your information in accordance with our normal procedures and all applicable laws. We employ appropriate technical and organisational security measures to help protect your personal data against loss and to guard against access by unauthorised persons.  

 

PARENTS

We are committed to the safety and privacy of children who visit and participate in our services.

We encourage parents and/or guardians to play an active role in their children’s online experience at all times. We do not knowingly contact or collect information from children under 13 without the explicit permission of their parents/guardians. If you believe that we have inadvertently collected such information, please contact us so we can promptly either obtain parental consent or remove the information.

 

CHILDREN

Remember to be smart and safe online. Always ask your parent or guardian for permission before you give out any personal information. This could include your name, email address, home address, telephone number, where you go to school or any other information about yourself that would enable someone to contact you either online or offline.

 

YOUR CHOICES AND RIGHTS

We welcome your inquiries and comments. You have the right to know what personal data we process about you and may request a copy. You are also entitled to have incorrect personal data about you corrected and you may in some cases ask us to delete your personal data. You can also object to certain personal data about you being processed and request that processing of your personal data be limited. You also have the right to receive your personal data in a machine-readable format and have the data transferred to another party responsible for data processing.
